• firstname.surname@company.co.za: the most common format in medium and large companies, banks and professional firms. It is clear and easy to guess.
• initialsurname@company.co.za (for example jsmith@): shorter, popular in law and accounting firms.
• firstname@company.co.za: friendly and short, common in small businesses where there is only one Thabo or one Lerato.
• Role-based addresses such as info@, sales@, accounts@, quotes@, bookings@ and tenders@. These are ideal for small businesses because the address stays the same when staff change.

South African government email address format

Government email addresses in South Africa always end in .gov.za. Only government bodies can use this ending, so it is the quickest way to tell whether an email really comes from government.

The usual pattern is firstname.surname@ followed by the department's or province's domain. Some examples of real domain patterns:

• National departments and entities: each has its own domain, such as @health.gov.za, @dcs.gov.za (Correctional Services), @dha.gov.za (Home Affairs), @sars.gov.za (SARS) and @saps.gov.za (SAPS).
• Provincial governments: provinces use their own domains, for example @gauteng.gov.za and @westerncape.gov.za. Some provincial departments have their own domain, such as @kznhealth.gov.za, @echealth.gov.za or @fshealth.gov.za, and some provinces use short codes like @nwpg.gov.za (North West) and @ncpg.gov.za (Northern Cape).

Like people everywhere, South Africans use global free services such as Gmail (name@gmail.com), Outlook (name@outlook.com or older @hotmail.com) and Yahoo (name@yahoo.com). Gmail usernames can only contain letters, numbers and full stops.

Local internet providers have also offered email for years, but many of these older addresses have changed:

• @mweb.co.za: still in use. Mweb (now part of Webafrica) moved its mail to a new platform from late 2025, and archived messages were not carried over, so users had to back them up.
• @telkomsa.net: Telkom internet email, linked to a Telkom internet account and managed through Telkom's customer portal.
• @webmail.co.za: once a popular free South African service. It is now a paid subscription service run by an overseas company.
• @vodamail.co.za: Vodacom has been discontinuing its Vodamail service and deletes inactive accounts, so it is not a good choice for anything new.

How to work out a company's email format

Need to email someone at a South African company but only know their name? Try this:

1. Check the company website. Look at the contact page, team page or the footer. Once you see one staff address, you know the pattern for everyone.
2. Look at an email signature or invoice from anyone else at that company.
3. Use the role address. If you cannot find the person, send your email to info@ or enquiries@ and ask for it to be forwarded. This is normal practice in South Africa.
4. Do not guess for important messages. A wrong guess such as thandi@ instead of thandi.nkosi@ may bounce or, worse, reach a different person. Phone reception and confirm the address for anything confidential, such as contracts, CVs or banking details.

For government, use the addresses listed on the department's official .gov.za website or on gov.za, rather than an address from a random directory.

Rules for a valid email address

South Africa follows the same international email rules as everyone else. The simple, safe version:

Local part (before the @)

• Use letters (a to z), numbers (0 to 9), full stops (.), hyphens (-) and underscores (_). These work with every provider.
• The standards technically allow a few more symbols (such as + and '), but many websites and forms reject them, so avoid them for a business address.
• A full stop cannot be the first or last character, and you cannot have two in a row (john..doe is invalid).
• No spaces, and no commas.
• Maximum length is 64 characters.

Domain part (after the @)

• Letters, numbers and hyphens only, separated by full stops (company.co.za).
• A hyphen cannot be at the start or end of a section.
• Each section can be up to 63 characters.

Other rules

• Exactly one @ symbol.
• The whole address should not be longer than 254 characters.
• Email addresses are treated as not case sensitive in practice: Thandi.Nkosi@Company.co.za and thandi.nkosi@company.co.za reach the same mailbox. Write them in lowercase to avoid confusion.

A very common South African typo is writing .co.za as .coza, .co.zo or .com.za. The correct ending is always .co.za, with a full stop on both sides of "co".

Many people searching for the South African address format mean the postal address, not email. The usual order is from the most specific to the most general, with a 4-digit postal code:
