The best email hosting for most South African small businesses is a locally hosted service that includes your .co.za domain, strong spam filtering and someone to set it up for you, which typically costs R600 to R1 500 a year. If your team works in Word, Excel and Teams all day, Microsoft 365 is worth the higher price; if you live in Google Docs, choose Google Workspace.
We run EmailPros, so we are obviously not neutral. That is why this guide compares all the realistic options honestly, including the ones we do not sell, with prices checked in September 2026, and tells you which suits which kind of business.
What is email hosting, and why not just use Gmail?
Email hosting is a service that runs mailboxes on your own domain, so you can send and receive as info@yourbusiness.co.za instead of yourbusiness@gmail.com. It includes the storage for your email, spam filtering, webmail and the settings that let your phone and Outlook connect.
A free Gmail or Outlook.com address works, but it has real business costs:
- Trust: customers, banks and procurement officers take a business address more seriously, and some tender documents expect one.
- Control: if a staff member leaves, a business mailbox stays with the business. A personal Gmail leaves with them.
- Brand: every email you send advertises your domain.
If you are unsure how business addresses are normally written, see our guide to the South African email address format.
The four main types of email hosting in South Africa
1. Local cPanel email hosting (Afrihost, xneelo, Hostking and others)
South African web hosts offer email on their own servers, usually managed through a control panel such as cPanel. You buy a package, add your domain, create mailboxes and configure your devices yourself.
- Afrihost sells email-only packages from R64 a month (Bronze, up to 10 mailboxes and 1GB storage) to R109 a month (Platinum, 250 mailboxes and 10GB). There is no fixed contract, but the domain is extra.
- Hostking offers email hosting from R34.50 a month when paid annually in the first year (R414), renewing at R69 a month. The domain is sold separately.
- xneelo includes email with its web hosting, which starts from R99 a month, on servers in South Africa.
Good for: businesses with someone technical who is comfortable setting up DNS records and phones. Watch out for: promotional first-year prices that double on renewal, shared storage that fills up, and monthly billing that adds up over a year.
2. Google Workspace
Google Workspace gives you Gmail on your own domain, plus Google Drive, Docs, Sheets, Calendar and Meet. Business Starter costs about R115 per user per month on an annual plan (about R135 on the flexible monthly plan), plus VAT, and includes 30GB of storage per user.
Good for: teams that already collaborate in Google Docs and Sheets. Watch out for: you pay per user, priced internationally, so the Rand price moves with the exchange rate. You still need to buy the domain and set up the DNS records yourself (or pay someone to). Google stores Workspace data in its global data centres, and small business plans do not let you choose to keep it in South Africa.
3. Microsoft 365
Microsoft 365 gives you Outlook email through Exchange, plus Teams, OneDrive and (on the Standard plan and up) the desktop versions of Word, Excel and PowerPoint. On Microsoft's South African website in September 2026, Business Basic works out to about R115 per user per month paid yearly, Business Standard about R380 and Business Premium about R520, all excluding VAT. Mailboxes are large: 100GB per user on Basic and Standard.
Good for: offices that need Office apps and Teams, and larger mailboxes. Microsoft also offers South African data centres. Watch out for: per-user pricing at international prices, annual commitments that auto-renew, and a setup process that is not designed for non-technical users. Many small businesses buy through a local Microsoft partner, which adds a margin but also gives local support.
4. Done-for-you email hosting (EmailPros)
A done-for-you service handles everything: it registers your domain, creates the mailboxes, sets up DNS, SSL and spam filtering, and sends you instructions for your phone and Outlook. EmailPros packages start at R600 a year for one address and include a free .co.za or .com domain.
Good for: small business owners who want professional email working quickly without learning the technical side. Watch out for: storage is smaller than Microsoft 365, and it is email, not an office suite. If you need Teams or shared online documents, Microsoft 365 or Google Workspace is the better fit.
Email hosting comparison table for South African small businesses
| Option | Typical cost | Domain included | Data stored | Storage | Who sets it up | Best for |
|---|---|---|---|---|---|---|
| Local cPanel hosting (e.g. Afrihost, Hostking) | About R35 to R110 a month, often more on renewal | Usually not (free with some hosting plans) | South Africa | 1GB to 100GB shared | You | Tech-savvy owners on a budget |
| Google Workspace Business Starter | About R115 per user a month (annual), plus VAT | No | Google global data centres | 30GB per user | You or an IT partner | Teams working in Google Docs and Sheets |
| Microsoft 365 Business Basic | About R115 per user a month (paid yearly), excl. VAT | No | South African data centres available | 100GB per user | You or an IT partner | Offices using Outlook, Teams and Office |
| EmailPros | R600 to R2 500 a year, paid once | Yes, .co.za or .com | South Africa (Johannesburg and Cape Town) | 1GB to 120GB | Done for you, ready within 3 working hours | Non-technical owners and small teams |
Third-party prices were checked on each provider's website in September 2026. Prices change, and the Google and Microsoft prices also move with the exchange rate, so always confirm before you buy.
What does email hosting really cost for a small team?
Per-user pricing looks small, but it multiplies quickly. Here is a realistic first-year cost for a business with three email addresses:
| Option | Approximate first-year cost for 3 addresses |
|---|---|
| EmailPros Basic (domain included) | R800 |
| Afrihost Bronze email plus a .co.za domain | About R965 (R768 hosting plus R197 domain), plus your setup time |
| Google Workspace Business Starter, annual plan | About R4 100 before VAT, plus domain and setup |
| Microsoft 365 Business Basic, paid yearly | About R4 100 before VAT, plus domain and setup |
The Google and Microsoft figures are approximate Rand amounts for September 2026 and can change with the exchange rate. The big suites cost more because they include far more than email. The question is simply whether your business will use those extras.
Is cheap or free email hosting good enough?
Some hosting packages advertise "unlimited email accounts" for very little money. Those can be fine, but the low price usually means one of three things: storage is shared and small, support is limited, or the price jumps on renewal. Free options that use your own domain are rare and usually come with strict limits or no support at all.
For a business, the real cost of email is not the monthly fee. It is the missed quote because a message went to spam, or the morning lost because email stopped working on your phone. Pay a fair price for a service that works and that someone will help you with.
What to look for in email hosting
Servers in South Africa
Local servers mean your data stays in the country and webmail is quick to load. It also keeps things simple when clients or regulators ask where their information is stored.
POPIA compliance
The Protection of Personal Information Act (POPIA) applies to the personal information in your inbox: client names, ID numbers, contracts and medical or financial details. POPIA does not ban storing email overseas, but it does set conditions on sending personal information outside South Africa. Choosing a provider with South African servers, good security and regular backups makes it easier to show you are taking reasonable steps to protect that information. This matters especially for attorneys, accountants, medical practices and anyone handling ID documents.
Spam and virus filtering
Phishing emails and fake invoices are among the most common ways small businesses lose money. Make sure filtering is included as standard, not sold as an add-on. Good hosting should also set up SPF, DKIM and DMARC records so that your own emails are trusted and do not land in your clients' junk folders.
Enough storage
A salon owner sending booking confirmations needs very little space. An architect or engineer sending drawings needs far more. Check whether storage is per mailbox or shared across the account, and what happens when it fills up.
Backups
Ask whether your email is backed up, how often, and whether backups are kept somewhere separate from the main server. Accidentally deleted folders are common, and a daily off-site backup can save you.
Support you can actually reach
When email stops working on your phone at 8am, you want a person who understands small businesses, not a knowledge base written for IT administrators. Check how support works before you sign up.
Clear, predictable billing
Look at the total cost per year, the renewal price, whether the price is fixed in Rand or moves with the exchange rate, and whether you are signing up to a monthly debit order.
Setup on your devices
Most small business owners read email on their phones. The provider should give you clear instructions for iPhone, Android and Outlook, or set it up for you.
How to switch email hosting without losing your emails
Many businesses stay with a poor email provider because they are worried about losing old messages. Switching is very manageable if you plan it:
- Check who controls your domain. You will need access to its DNS settings, or the new provider will need you to approve a domain transfer.
- Create the same email addresses on the new service before you move anything, so no mail is lost.
- Copy your old emails across. This can be done by connecting both accounts in Outlook and dragging folders, or with a migration tool.
- Update the MX records so new mail goes to the new server. For a few hours, some mail may still arrive at the old one, so keep it open for a day or two.
- Set up your phones and computers with the new settings, and remove the old accounts once everything is working.
Moving from a free Gmail address? You can keep it running while you tell clients about the new address, and set an auto-reply or forward so nothing is missed. Some businesses also forward a new business address to an existing inbox during the changeover.
Best email hosting by type of business
- Sole traders and tradespeople (plumbers, electricians, builders, painters): one or two addresses that work on your phone. A done-for-you package like EmailPros Starter (R600 a year) or Basic (R800 a year) is usually the simplest and cheapest route.
- Professional practices (attorneys, accountants, consultants): local hosting, strong spam filtering and backups matter because of POPIA and client confidentiality. EmailPros Professional (up to 5 addresses) suits small practices. If the practice runs on Word, Excel and Teams, Microsoft 365 is a strong choice. See our attorney email address examples for naming ideas.
- Tender and contracting businesses: you need a professional address on every bid document and reliable delivery of large attachments. Choose a package with enough storage, such as EmailPros Business or Business Plus, which also include a small website you can put on your company profile.
- Salons, shops and service businesses: a few generic addresses (info@, bookings@) are usually enough. Keep it simple and affordable.
- Growing teams of 10 or more who collaborate on documents: Microsoft 365 or Google Workspace, set up by an IT partner if you do not have one in-house.
- Businesses with in-house technical skills: local cPanel hosting from providers like Afrihost, xneelo or Hostking gives you control at a low monthly price.

Our honest recommendation
If you are a small South African business that mainly needs reliable, professional email on your phone and computer, you do not need to pay per user for an office suite you will not use. A locally hosted package with your domain included, spam filtering, backups and setup done for you is the best value.
If your team genuinely works in Microsoft Office and Teams, or in Google Docs every day, pay for Microsoft 365 or Google Workspace and get a local partner to set it up properly. And if you are comfortable with DNS and cPanel, a local web host gives you the most control for the lowest monthly price. Whichever you choose, make sure the domain is registered to your business and that you know exactly what it will cost at renewal.
Frequently Asked Questions
What is the cheapest business email hosting in South Africa?
Local hosts offer email from about R35 to R65 a month, but usually without the domain and with setup left to you. EmailPros Starter costs R600 a year including a free .co.za domain, hosting and setup, which is R50 a month.
Is Google Workspace or Microsoft 365 better for a small business?
Choose Microsoft 365 if your team uses Outlook, Word, Excel and Teams. Choose Google Workspace if you work in Google Docs and Sheets. If you only need reliable email, a local email hosting package is usually much cheaper.
How much does Microsoft 365 cost in South Africa?
Microsoft's South African website priced Business Basic at about R115 per user per month paid yearly in September 2026, excluding VAT. The Rand cost depends on the exchange rate and on the partner you buy through.
Does POPIA require my email to be stored in South Africa?
No, POPIA does not ban storing email overseas, but it sets conditions on sending personal information outside South Africa. Using a provider with South African servers, good security and backups makes compliance simpler.
Can I keep my existing emails if I change email hosting?
Yes. Old emails can be copied to the new service, and your addresses stay the same because they are tied to your domain. Plan the change so the MX records are updated only once the new mailboxes are ready.
How quickly can I get business email set up?
With EmailPros, your domain and email addresses are ready within 3 working hours of payment, and you receive a welcome pack with login details and phone and Outlook guides.
